Introduction

Dental Gold Experts ("Company," "we," "us," or "our") is a Texas-based mail-in precious metals purchasing company specializing in the acquisition of dental gold and dental scrap materials. We operate the website located at https://www.dentalgoldexperts.com (the "Site").

We take your privacy seriously. This Policy is designed to meet or exceed the requirements of applicable U.S. federal and state privacy laws, including the Texas Data Privacy and Security Act (TDPSA), the Telephone Consumer Protection Act (TCPA), the CAN-SPAM Act, and applicable federal anti-money laundering (AML) regulations.

By accessing or using our Site, requesting a prepaid shipping label, submitting materials to us, or otherwise providing us with your personal information, you acknowledge that you have read and understood this Privacy Policy and consent to the practices described herein. Please note that disabling certain cookies may affect the functionality of our Site. You may also opt out of interest-based advertising through the Network Advertising Initiative (NAI) opt-out tool at optout.networkadvertising.org and the Digital Advertising Alliance (DAA) opt-out tool at optout.aboutads.info.

4.4 Do Not Track

Please see Section 30 for our response to browser-based Do Not Track signals.

Google Analytics

We use Google Analytics, a web analytics service provided by Google LLC ("Google"), to collect and analyze information about how visitors use our Site. Google Analytics uses cookies to collect standard internet log information and visitor behavior information in a form that does not identify individuals. Google Analytics collects information such as how often users visit the Site, what pages they visit, and what other sites they used prior to accessing ours.

The information generated by Google Analytics cookies about your use of the Site (including your IP address) is transmitted to and stored by Google on servers in the United States. Google uses this information to evaluate your use of the Site, compiling reports on website activity for website operators, and providing other services relating to website activity and internet usage.

We have enabled IP anonymization (IP masking) in Google Analytics where technically available, so that Google will truncate your IP address before storing it. You can prevent Google's collection and use of data (cookies and IP address) by downloading and installing the Google Analytics Opt-out Browser Add-on available at tools.google.com/dlpage/gaoptout. For more information on Google's privacy practices, please visit policies.google.com/privacy.

We may use Google Analytics Remarketing, Google Display Network Impression Reporting, and/or Google Analytics Demographics and Interest Reporting. These features use first-party cookies (such as the Google Analytics cookie) and third-party cookies (such as the DoubleClick cookie) together to inform, optimize, and display ads based on past visits to our Site.

Google Ads

We use Google Ads (formerly Google AdWords) to advertise our services on Google Search and across the Google Display Network. As part of our Google Ads campaigns, we may use:

  • Remarketing: Showing targeted ads to individuals who have previously visited our Site. Google uses cookies to serve ads based on prior Site visits;
  • Conversion Tracking: A cookie is dropped on your device when you click on our ad. This cookie allows us to track whether your visit to our Site resulted in a specific action (such as submitting a form or requesting a shipping label). The cookie expires after 30 days and does not contain personally identifiable information;
  • Customer Match: We may use hashed (encrypted) email addresses or phone numbers to show targeted ads to existing customers or similar audiences on Google platforms. Data shared with Google for Customer Match purposes is encrypted before transmission and governed by Google's Customer Match Policy;
  • Similar Audiences: Google may use your data to identify and reach new users who share characteristics with our existing customers.

You can opt out of Google's use of cookies by visiting Google's Ads Settings at adssettings.google.com. You can also opt out via the Network Advertising Initiative at optout.networkadvertising.org. For more information, see Google's Privacy Policy at policies.google.com/privacy.

Meta Pixel and Facebook Ads

We use the Meta Pixel (formerly Facebook Pixel), a piece of code provided by Meta Platforms, Inc. ("Meta"), on our Site. The Meta Pixel allows us to measure the effectiveness of our Facebook and Instagram advertising campaigns by tracking actions users take on our Site after viewing or clicking on our ads.

The Meta Pixel may collect the following categories of data:

  • HTTP header information (IP address, browser type, page location);
  • Pixel-specific data (pixel ID and cookie);
  • Button click data, optional values, and form field names (but not form field values);
  • Standard Events: page views, contact form submissions, shipping label requests, and other interactions you take on our Site.

We use Meta Pixel data for:

  • Conversion Tracking: Measuring the effectiveness of our advertising;
  • Remarketing (Custom Audiences): Serving ads on Facebook and Instagram to people who have previously visited our Site;
  • Lookalike Audiences: Reaching new potential customers who share characteristics with our existing customers.

Data collected through the Meta Pixel is governed by Meta's Data Policy, available at facebook.com/policy. You can control how Meta uses your data for advertising by adjusting your ad preferences in your Facebook or Instagram account settings, or by visiting youradchoices.com. Note that opting out of interest-based advertising does not mean you will stop seeing ads — it means ads will not be targeted based on your browsing behavior.

We do not share sensitive personal data — such as government-issued ID information, assay results, payment details, or AML records — with Meta or any advertising platform.

Search Console and Website Analytics

We use Google Search Console to monitor and maintain our Site's presence in Google search results. Google Search Console provides us with data about how our Site appears in search results, including search query performance, impressions, click-through rates, and indexing status. This data is aggregated and does not personally identify individual users.

We may also use other website analytics tools and services to monitor Site performance, diagnose technical issues, analyze traffic patterns, and improve Site content and user experience. Information collected through these tools is used solely for internal analysis and operational improvement purposes.

How We Use Your Information

We use the personal information we collect for the following purposes:

  • Service Delivery: To receive, log, evaluate, assay, and process your submitted dental precious metals; to make and communicate purchase offers; to process accepted offers and issue payment; and to arrange return shipments for declined offers;
  • Identity Verification: To verify your identity and authorization to sell the submitted materials, as required by applicable law and our operating procedures;
  • Fraud Prevention and AML Compliance: To detect, investigate, and prevent fraud, theft, money laundering, structuring, and other illegal activity in connection with precious metals transactions;
  • Regulatory Compliance: To comply with applicable federal, state, and local laws governing precious metals purchasing, AML/KYC requirements, and mandatory reporting obligations;
  • Communications: To respond to your inquiries, provide customer service, send transaction updates, communicate purchase offers, and contact you regarding your submission or account;
  • Marketing and Advertising: To send promotional emails and SMS messages (with your consent where required), serve targeted advertisements on Google and Meta platforms, and operate our referral program;
  • Website Improvement: To analyze how visitors use our Site, diagnose technical issues, improve content and user experience, and monitor Site performance;
  • Legal Purposes: To enforce our Terms & Conditions, protect our legal rights, respond to legal process, and cooperate with law enforcement or regulatory authorities;
  • Business Operations: For record-keeping, accounting, auditing, internal reporting, and general business administration purposes.

We do not sell your personal information to third parties for their own independent marketing or commercial purposes.

Transaction Processing

When you submit dental precious metals to us, we create a complete transaction record that includes all information relevant to the receipt, evaluation, offer, acceptance or rejection, and payment or return associated with your submission. This record is maintained as part of our permanent business records for the purposes of customer service, dispute resolution, regulatory compliance, and legal protection.

Transaction records may include your personal identification information, shipping and tracking information, photographs of your submitted materials, assay documentation, offer and acceptance records, and payment confirmations. These records are maintained securely and are not shared with third parties except as described in this Privacy Policy or as required by law.

If a transaction is flagged for fraud prevention or AML compliance review, additional documentation and information may be collected and retained as described in Sections 12 and 13.

Identity Verification

As a precious metals purchasing company operating in the State of Texas, we may be required or permitted by applicable law to collect, verify, and retain government-issued identification and related information from customers in connection with precious metals transactions. Identity verification may be required in the following circumstances:

  • Where required by applicable Texas or federal law governing precious metals dealers;
  • For transactions above applicable regulatory thresholds;
  • Where a transaction raises fraud prevention or AML compliance concerns;
  • Where we are unable to verify your identity through other available means;
  • As part of our standard operating procedures for new customers or high-value submissions.

Identity verification information we may collect includes: government-issued photo ID (such as a driver's license, state ID, or passport), the ID number, issuing state or country, expiration date, and your date of birth as it appears on the ID. Where applicable, we may also collect your Social Security Number (or last four digits) or Federal Employer Identification Number (FEIN) for tax reporting purposes in connection with payments meeting applicable IRS thresholds.

Government-issued ID information and tax identification information are treated as sensitive personal information and are subject to heightened security measures. This information is used solely for identity verification, AML compliance, tax reporting, and fraud prevention purposes, and is retained only as long as required by applicable law or our legal obligations.

Fraud Prevention

Dental Gold Experts maintains active fraud prevention procedures to protect against the submission of stolen, fraudulent, or misrepresented materials. In connection with fraud prevention, we may:

  • Cross-reference submission information against known fraud databases or industry watchlists;
  • Retain records of all transactions, including those that were rejected or flagged as suspicious;
  • Share information with law enforcement, regulatory authorities, or other precious metals dealers in the event of suspected fraud or theft;
  • Photograph submitted materials for documentation purposes;
  • Require additional identification or documentation before completing a transaction;
  • Delay or withhold payment pending verification of the source or ownership of submitted materials.

Information collected and retained in connection with fraud investigations may be shared with local, state, or federal law enforcement agencies without notice to you where required or permitted by law. Customers who submit stolen or fraudulent materials may be reported to law enforcement and may forfeit any claim to the submitted materials.

We use commercially reasonable technical and procedural measures to prevent fraudulent submissions, but do not guarantee that all fraudulent transactions will be detected or prevented.

Anti-Money Laundering and Compliance Recordkeeping

13.1 AML / KYC Program

Dental Gold Experts operates in compliance with applicable federal and state anti-money laundering (AML) laws and regulations. As a precious metals dealer, we maintain a compliance program that includes customer due diligence (CDD) and know-your-customer (KYC) procedures as applicable to our business model and transaction volume.

13.2 Information Collected for AML Compliance

In connection with AML and regulatory compliance, we may collect and retain:

  • Customer name, address, and contact information;
  • Government-issued identification;
  • Date of birth;
  • Tax identification number or last four digits of Social Security Number where applicable;
  • Transaction records, including date, amount, and description of materials;
  • Records of any suspicious transaction reports (STRs) or Currency Transaction Reports (CTRs) filed with FinCEN or other applicable authorities;
  • Any other information required by applicable AML regulations or our internal compliance procedures.

13.3 Mandatory Reporting

We reserve the right — and in some cases are legally required — to report transactions to the Financial Crimes Enforcement Network (FinCEN), the Internal Revenue Service (IRS), or other regulatory or law enforcement authorities. This includes filing IRS Form 1099-B for reportable precious metals transactions and cooperating fully with any government investigation. We are prohibited by law from disclosing to you when certain reports have been filed.

13.4 Retention of AML Records

Records collected for AML compliance purposes are retained for the period required by applicable law, which may be five (5) years or longer depending on the nature of the record and applicable regulatory requirements. These records are maintained securely and are not used for marketing purposes.

Referral Program Data

We operate a referral program (the "Finder's Fee Program") under which existing customers and other participants may refer dental practices, dental professionals, laboratories, or other parties to Dental Gold Experts in exchange for a finder's fee upon a qualifying transaction. In connection with our referral program, we collect and use:

  • Referrer Information: The name, contact information, and payment information of the individual submitting the referral;
  • Referred Party Information: The name, practice name, address, phone number, email address, and any other contact information provided about the referred dental practice or professional;
  • Referral Tracking Data: The date of referral, referral source, whether the referred party completed a qualifying transaction, and the amount and status of any finder's fee payment;
  • Communication Records: Records of any communications between us and the referred party in connection with the referral.

By participating in our referral program and providing us with the contact information of a third party, you represent and warrant that you have obtained any necessary consent from that third party to share their information with us and for us to contact them. We will use the contact information of referred parties solely to follow up on the referral and will not add referred parties to any marketing lists without their separate consent.

Finder's fee payments may be reported to the IRS on Form 1099-NEC or other applicable tax forms where required by law. Referrers are solely responsible for their own tax obligations in connection with finder's fee payments.

Email Communications

15.1 Transactional Emails

We send transactional email communications to customers and prospective customers in connection with their submissions and transactions. Transactional emails include: submission confirmation, offer notification, payment confirmation, return shipping updates, and other operational communications directly related to your transaction. These communications are sent regardless of your marketing preferences, as they are necessary for the completion of your transaction.

15.2 Marketing Emails

We may send marketing and promotional emails to individuals who have provided us with their email address and consented to receive such communications. Marketing emails may include information about our services, current precious metal market updates, tips for dental practices, referral program announcements, and other content we believe may be of interest to you.

We comply with the federal CAN-SPAM Act in all marketing email communications. Specifically, every marketing email we send will:

  • Clearly identify the sender as Dental Gold Experts;
  • Include a valid physical postal address;
  • Include a clear and conspicuous mechanism to opt out of future marketing emails;
  • Honor opt-out requests promptly and within the timeframes required by law.

15.3 Opting Out of Marketing Emails

You may opt out of marketing emails at any time by clicking the "unsubscribe" link in any marketing email we send, or by contacting us at info@dentalgoldexperts.com. Opting out of marketing emails will not affect your receipt of transactional communications necessary to complete an in-progress transaction.

SMS / Text Message Communications

  • Marketing SMS: Promotional messages, service announcements, referral program updates, and other marketing content (only with your separate prior express written consent for marketing messages, as required by the TCPA).

16.3 Consent Language and Opt-In

Consent to receive marketing SMS messages is not a condition of using our services or submitting materials to us. When you opt in to SMS communications, you will receive clear disclosure of:

  • The types of messages you will receive;
  • The message frequency (e.g., "Message frequency may vary");
  • Applicable carrier message and data rates;
  • How to opt out (STOP to cancel);
  • How to get help (HELP for assistance).

16.4 Opting Out of SMS

You may opt out of SMS communications at any time by replying STOP to any text message you receive from us. Following your opt-out, we will send one final confirmation message and will not send any further marketing messages unless you re-consent. For help, reply HELP. Standard message and data rates may apply.

16.5 No Sharing of Phone Numbers for Third-Party SMS

We do not share your mobile phone number with third parties for their own SMS marketing programs without your separate, explicit consent.

Telephone Communications

We communicate with customers and prospective customers by telephone in connection with their submissions, offers, and transactions. Telephone calls to our business may be recorded for quality assurance, training, compliance, and documentation purposes. Where legally required, we will inform you that a call is being recorded at the start of the call.

We do not use automated telephone dialing systems or pre-recorded voice messages for marketing purposes without your prior express written consent as required by the TCPA.

Call records, including the date, time, duration, and content of calls (where recorded), are maintained as part of our transaction and customer service records and are retained in accordance with our Data Retention policy in Section 25.

Customer Consent Language

By submitting your personal information to Dental Gold Experts through any channel — including our website forms, email, phone, or by mailing materials to us — you expressly consent to the following:

  • Receipt of transactional communications (email, SMS, and phone) related to your submission, offer, and transaction;
  • Collection, use, and retention of your personal information as described in this Privacy Policy;

  • Our Privacy Policy and Terms & Conditions, both of which are incorporated into and govern your relationship with Dental Gold Experts.

Consent to receive marketing emails and marketing SMS messages is obtained separately through our opt-in mechanisms and is not a condition of using our services.

Sharing Information With Service Providers

We share personal information with third-party service providers who assist us in operating our business and delivering our services. These service providers are contractually obligated to use your personal information only for the purposes of providing services to us, to maintain appropriate security measures, and not to disclose your information to others without our authorization.

We do not sell, rent, or lease your personal information to third parties for their own independent commercial use.

Shipping Carriers and Logistics Providers

We share limited personal information with shipping carriers and logistics providers — including but not limited to USPS, UPS, FedEx, and their affiliates and subcontractors — as necessary to arrange, track, and confirm the delivery and return of your submitted materials. Information shared with carriers includes your name, mailing address, contact telephone number, and shipment-specific details.

Carrier privacy practices are governed by each carrier's own privacy policy. Dental Gold Experts is not responsible for the privacy practices of third-party carriers. Shipping and tracking data is retained as part of our transaction records for the period described in Section 25.

Payment Processors

We share payment-related personal information with third-party payment processors to facilitate the issuance of payments to customers who have accepted our purchase offers. Depending on your selected payment method, we may share your information with providers facilitating check issuance, ACH transfers, wire transfers, or PayPal payments.

Payment processors are contractually bound to maintain the confidentiality and security of your payment information and to use it solely for the purpose of processing your payment. We do not store full payment card numbers in our systems. Payment transactions and records are retained for accounting, tax reporting, and dispute resolution purposes in accordance with our Data Retention policy.

We may be required to collect and report your tax identification information to the IRS in connection with payments that meet applicable reporting thresholds, including on IRS Form 1099-B or other applicable forms.

Legal Disclosures

We may disclose your personal information to third parties when we believe in good faith that disclosure is necessary or appropriate to:

Where permitted by law, we will attempt to notify you before disclosing your personal information in response to legal process. However, we are not required to provide such notice, and in certain circumstances — such as when a regulatory authority requests confidentiality — we are prohibited from doing so.

Business Transfers

In the event that Dental Gold Experts is involved in a merger, acquisition, sale of all or substantially all of its assets, reorganization, bankruptcy, or other business transfer, your personal information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information by posting a notice on our Site or sending you an email (if we have your email address), and your personal information will remain subject to a privacy policy that is at least as protective as this one.

Data Security

We implement commercially reasonable administrative, technical, and physical security measures designed to protect your personal information against unauthorized access, alteration, disclosure, and destruction. Our security measures include:

These third-party websites have their own privacy policies, and we are not responsible for the privacy practices of any website that we do not operate.
